Grounds for processing

We process personal data only where we have a lawful basis to do so. We rely on the performance of a contract when we fulfil an order, fabricate to your specification or arrange a measurement; on your consent when we send optional updates or set non-essential cookies; on our legitimate interest in running, securing and improving the Services where that interest is not overridden by your rights; and on compliance with a legal obligation where law requires us to keep records. Where processing rests on consent, you may withdraw it at any time without affecting processing already carried out.

Categories of data we collect

We collect identity and contact details you provide, including your name, email address, telephone number and postal or delivery address. We collect project information such as the stone types, quantities, finishes and dimensions you discuss with us. We collect transaction records relating to sales, fabrication and consultation fees. We collect technical data generated when you use the site, including your IP address, device and browser type and the pages you view. We do not deliberately collect special categories of data.

How we use your data

We use personal data to respond to enquiries, prepare quotations, process sample requests, schedule measurements and fulfil orders. We use it to manage fabrication and delivery, to issue invoices and to keep accurate business records. We use technical data to operate and secure the site and to understand, in aggregate, how it is used so we can improve it.

Who we share data with

We share personal data only as needed to deliver the Services. This may include fabrication and finishing workshops, delivery and logistics providers, landscaping and renovation partners working on your project, payment processors, and IT and hosting providers acting on our instructions. Because we source stone internationally, some suppliers and service providers may be located outside Japan. Where personal data is transferred across borders, we take reasonable steps to ensure it remains protected by appropriate safeguards consistent with applicable law.

How long we keep data

We keep personal data only as long as necessary for the purposes described here. Order and transaction records are retained for the periods required by tax and accounting law. Enquiry and consultation records are kept while a project is active and for a reasonable period afterwards. Technical and analytics data is kept for a limited period and then deleted or aggregated.

We apply appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These include access controls, encryption in transit where appropriate and limiting access to staff and partners who need it. No system is completely secure, but we review our measures regularly.

The Services are intended for adults making or advising on property and renovation decisions. We do not knowingly collect personal data from children. If you believe a child has provided us with data, contact us and we will delete it.

We may update this policy from time to time to reflect changes in our practices or the law. When we make material changes we will revise the date above and, where appropriate, provide additional notice. Please review this page periodically.

Sample sets and deliveries

When you ask for a sample set (up to five stones for ¥3,500, delivered within three working days across the Tokyo wards), we need your name, a delivery address and a telephone number the courier can ring. We also keep a note of which stones went out and which application you described, so that the sample fee can be credited in full if you later order more than ten square metres. Courier companies receive only what they need to deliver the parcel.

Showroom and measurement visits

If you call ahead to visit the Shinsuna showroom, we note your name, contact number and the project you want to discuss so the right person is on the floor. For an on-site template and measurement visit we also record the address of the property, access arrangements, dimensions and, where useful, photographs of the walls, floors or joinery that the stone will meet. Those photographs stay in the project file; we do not publish them or use them to promote our work without asking you first.

Drawings and files you send us

Architects and contractors often send plans, CAD files or marked-up photographs. We use them only to prepare quotations and cutting lists, and we pass them to the workshop that will cut your stone. On request, once the project is complete and any defect period has ended, we will return or delete the files, apart from records we must keep for tax or accounting purposes.

What this website itself collects

This site has no account area and no shopping basket. Enquiries reach us by telephone, e-mail at info@lunar-quarry.com or in person at the showroom, so most personal data comes to us directly from you rather than through the pages. The only item the site stores on your device is a record of your cookie choice, described in our Cookie Policy.

Japan's Act on the Protection of Personal Information

We handle personal data in line with Japan's Act on the Protection of Personal Information (APPI). We use it only for the purposes set out in this policy, and we will tell you or publish a new purpose before using data for anything else. You may ask us to disclose the data we hold about you, to correct or delete it, or to stop using or providing it to others where the Act allows. We may need to confirm your identity before acting and will respond without undue delay. When data is provided to a third party outside Japan, such as an overseas quarry agent, we do so only with your consent or where the recipient maintains standards equivalent to those the Act requires. If we cannot resolve a concern, you may also contact the Personal Information Protection Commission.

Governing law and jurisdiction

This policy is governed by the laws of Japan. Any dispute arising from it is subject to the exclusive jurisdiction of the courts of Tokyo, Japan, without prejudice to any mandatory rights you may have under local law.
